Job Summary
We are seeking a detail-oriented and organized Records Clerk to join our team. The ideal candidate will be responsible for maintaining and managing records, ensuring accuracy, and providing excellent customer service. This role requires strong time management skills and the ability to analyze data effectively. The Records Clerk will work with various databases and software applications, including Access and Outlook, to support our organizational needs.

Duties

The role consists of Processing Admissions, Outpatient and Discharges; Reception; Record Retention;and Patient Safety.

Locate and deliver patient charts to inpatient unit as per daily admission register.
Process Inpatient, Discharges & Outpatient Records, including assembly of records to eChart/EMR, analyzing records for completeness, issuing Incomplete Record (ICR) deficiencies to physicians and abstracting the data into Med2020 WinRecs.
Finalize ICR process once physicians complete deficiencies
Maintain and organize physical and electronic records in compliance with company policies.
Analyze records for accuracy and completeness, ensuring all necessary documentation is present.
Utilize Access and other database management tools to input, update, and retrieve information efficiently.
Provide customer service support by responding to inquiries regarding records and assisting staff with data retrieval.
Collaborate on projects related to record management improvements and efficiency enhancements.
Ensure confidentiality of sensitive information while adhering to legal regulations regarding record keeping.
Perform regular audits of records to ensure compliance with internal standards.
Perform department reception duties.
Experience

Proven experience in a clerical or administrative role is preferred.
Certificate in medical terminology from a recognized College or equivalent and experience in Health Care an asset.
Strong organizational skills with the ability to manage multiple tasks effectively.
Proficiency in Microsoft Windows environment, particularly in Outlook and Access.
Proficiency or ability to learn Meditech, MRI (Medical Records), Med2020 WinRecs abstracting standards
Excellent time management skills to prioritize tasks efficiently.
Familiarity with database management systems is advantageous.
Strong customer service orientation with the ability to interact professionally with staff and clients.
